MaloneBailey, a leading U.S.-based consulting firm with offices in Houston, Texas USA (headquarters) Beijing, Shenzhen Tokyo, is hiring a seasoned Administrative directmanager to join its Beijing/Shenzhen office. The Administrative directmanager leads coordinates administrative functions while serving as a key liaison to the firm’s Houston headquarters. This role ensures efficient office operations, supervises administrative staff, supports HR, marketing recruiting processes. The Administrative directmanagerr plays a critical role in streamlining workflows, maintainingganizational standards, fostering effective communication collaboration between MaloneBailey’s global teams.
Core Responsibilities:
Administrative Operations Leadership
Formulate implement daily office operation strategies, including facility maintenance, office supplies procurement, environmental safety, comprehensive logistics support;
Establish manage supplier relationships (cleaning, security, property) to achieve optimal balance between service quality cost efficiency;
Drive cross-departmental process optimization, streamline workflows, enhance overall operational efficiency.
HR & Personnel Oversight
Participate in the planning execution of personnel performance evaluation procedures;
Lead communication follow-up on employee performance evaluations;
Demonstrate deep expertise in Chinese personnel salary management, social security procedures, HR operations.
Event & Meeting Excellence
Conceptualize execute high-quality corporate events (annual meetings, employee engagement activities), client hospitality programs, international business travel arrangements;
Plan execute executive-level meetings, including venue selection, materials preparation, minute-taking & follow-up.
Budget & Compliance Governance
Develop, implement, monitadministrative budgets to ensure cost-effectiveness expense control;
Ensure complete compliance with local regulatory requirements, including lablaws, safety regulations, tax policies.
Team Development & Leadership
Lead mentthe administrative team, collaborate with headquarters to define performance metrics appraisal standards;
Design deliver targeted training programs to enhance team professionalism, service mindset, core competencies.
Global Cross-Cultural Collaboration
Serve as the key liaison fadministrative affairs between China, global subsidiaries, headquarters, thriving in a multicultural work setting.
Qualifications & Competencies
Bachelors degree higher in Administration, Business English, Business Administration, a related field;
10+ years of progressive administrative management experience, preferably in a professional firm such as accounting firm, consulting firm law firm enterprise multinational environment;
Solid English proficiency, with the ability to use English as the primary working language;
Advanced proficiency in Microsoft Office Suite (Word, Excel, PPT) other office productivity tools;
In-depth knowledge of Chinese lablaws, tax regulations, compliance frameworks fforeign-invested enterprises;
Proven track record inganizational coordination, emergency management, cross-departmental collaboration;
Demonstrated leadership capabilities, strong sense of responsibility, resilience under pressure, a customer-centric mindset.
Preferred Credentials:
Project Management Professional (PMP) certification other relevant administrative management certifications;
Experience in managing regional headquarters of multinational corporations administrative teams.
Compensation & Benefits
Monthly Salary: 25,000 - 50,000 RMB (commensurate with experience qualifications);
