Corporate Secretariat is looking fa Board Operations Assistant to perform responsibilities under the oversight guidance of professional staff members of the Corporate Secretariat of the Bank. Together with other assistants in the team, the assistant will work on one several of the following areas, will also have opportunities to further develop skills in other areas of the team’s work:
Support to Meetings of the Board of Directors the International Advisory Panel
61 Support the preparation circulation of Meeting Notices, agendas, background documents, project-documentation other papers, including the coordination of follow-up queries.
61 Coordinate under the guidance of superviswith working-level focal points across the Bank to facilitate the timely registration of relevant personnel fmeetings.
61 Support the preparation of routine documentation to facilitate elections appointments of Directors, external Committee Members International Advisory Panel Members.
61 Provide substantial logistical support to theganization of virtual in-person meetings, including meeting room bookings, travel arrangements, catering payments.
61 Provide administrative support to officials of the Board of Directors, members of the International Advisory Panel, external members of a Board Committee, including expenses settlement reporting, visa facilitation, IT hardware/software support fBoard.
61 Support the timely disclosure of relevant information in line with the Policy on Public Information.
61 Prepare presentation materials other internal documentation under the guidance of professional staff members.
Communication with the Board of Directors
61 Act as a working level focal point fBank communication with the Board IAP members; responsible fthe day-to-day communication with the non-resident Board of Directors, IAP relevant Bank staff.
61 Support professional staff members to provide high-quality timely responses to Board enquiries in line with the Bank’s policies guidance on information provision to the Board.
Development Maintenance of Board Portal/Board Information Database:
61 Maintain relevant databases records, including the Board operations manual, as related to individual responsibilities.
61 Participate in the further development of the virtual office of AIIB’s Board of Directors, the Board Portal, including coordination with the IT Department external vendor, compilation of business requirements, participation in user acceptance testing the proactive provision of suggestions ffurther improvements to the Portal to enhance efficiency.
61 Support the professional staff members coordinate with other teams to ensure the close integration of IT systems to better serve the Bank’s Board of Directors’ needs.
Requirements
61 Strong verbal written communication skills in English.
61 Relevant experience, ideally in an international multilateral context. Experience in finance and/IT project management is of advantage.
61 Demonstratedganizational skills with the ability to work as a team member, work proactively plan ahead.
61 A high level of attention to detail, experience working with MS Office applications videoconferencing solutions.
61 Ability to work effectively under pressure flexibly adapt working hours to accommodate business needs.
61 Experience exercising discretion confidentiality with sensitive corporate information.
61 Demonstrated high standards of ethics.
61 Multi-cultural exposure a plus.
61 Bachelor’s degree above in related fields from a reputable university. Qualifications related to finance IT project management are a plus.
