The Asian Infrastructure Investment Bank (AIIB) has the mandate to foster economic growth in Asia by investing in infrastructure other productive areas promoting regional cooperation partnership.
The key responsibility of the Administrative Assistant is to provide necessary support to the seniexecutive(s) the department/division with complete secretarial administrative services, including secretarial services, administrative management coordination, liaison with internal & external contacts, general data analysis basic research work etc.
Specific Responsibilities include but are not limited to:
-Manage seniexecutive(s)’/Officer(s)’ schedule, maintain up-to-date files records of all correspondence documentation related to the office/department that the assistant is working for.
-Ensure the timely smooth implementation of logistics surrounding key tasks in the department including assisting in visa application fstaff members, coordinating travel schedule, preparing meeting agendas all travel documents including travel memo, budget expenses claims etc.
-Provide logistical support ftheganization of meetings, events, workshops conferences; provide full scope of logistical support, including preparing fschedules, informing participants, confirming dates times, sending electronical paper invitations, drafting slides, taking distributing minutes notes, other support may be instructed.
-Provide support in handling on/offboarding logistics fprofessional staff from business side, if necessary. This may involve tasks such as supporting office workspace arrangement, coordinating with the HR/FAS on/offboarding team, collaborating with other relevant teams to ensure a seamless on/offboarding process.
-Handle all incoming outgoing calls, faxes email transmissions coordination of appointments; Draft prepare office memos, letters, meeting minutes, reports other correspondence as instructed.
-Liaise with internal staff, receive interact with incoming visitors. Proofread distribute general correspondence. Maintain office coordination resolve any issues inquiries.
-Create, maintain review office documents, such as process invoices maintain an up-to-date record of vendpayments; prepare expense/budget reports, memos, other administrative record by collecting data from various tools and/consolidating it reports.
-Administer the office budget assist in developing monitoring the budget implementation.
-Assist with data entry/collection/analytics, database maintenance support basic research. Handle sensitive information in a confidential manner.
-Monitstationary levelsder office supplies. Coordinate repairs to office equipment.
-Any other tasks that may be assigned from time to time by the supervisor(s).
Candidate Requirements
-Bachelor’s degree above in related fields from a reputable university
-Minimum 1 year of relevant administrative support experience in the international/financial institution;
-Proficient in verbal/written English Chinese
-The working language is English; knowledge of French would be a plus.
-Excellent interpersonal, diplomaticganizational skills as well as ability to juggle multiple priorities
-Self-motivated detail-oriented; able to work under pressure meet deadlines; serviceientation.
-Experience of working in a multi-national environment with a dispersed workforce will be a plus.
-Ability to deal with extremely confidential sensitive information.
-(Fassistant in Investment Operations) Additional language skill on any of the following will be a bonus: Russian, French, Arabic, Korean, Portuguese Spanish.
-Proven experience with MS Office Applications is a must.
