We are looking fa highly independent Product Line Administratto provide administrative process support fthe Yuu team in our Hong Kong office. The primary focus is managing the lifecycle of IT contracts, facilitating procurement workflows in GEP, ensuring accurate financial data entry faccruals inter-company cross-charging (SOA).
Responsibilities:
四. Contract & Procurement Coordination
• Tracking & Alerts: Maintain the IT contract register. Proactively alert Product Leads Group Procurement 3–6 months before contract expiry to trigger the "Renew Replace" decision process.
• Process Execution: Handle the administrative entry fPR/PO creation in the GEP system once decisions are made.
• VendOnboarding: Coordinate the collection of documentation required by Group Procurement to set up vendors in the system.

五. Financial Administration (yuu Rewards)
• Monthly Accruals: Consolidate spend data to prepare monthly year-end financial accrual templates fFinance/Accounting review.
• SOA Processing: Support the Finance IT Statement of Account (SOA) process by verifying that invoices match POs are charged to the correct DFI banner cost centers.
• Billing Support: Act as the "help desk" fbilling queries, liaising between vendors DFI Accounting to resolve payment status charging errors.

六. Stakeholder Support
• Organize maintain the folder of "Contract/Budget Approvals" faudit readiness.
• Daily coordination with GEP support Finance teams to ensure smooth transaction flow.

To be successful fthis role, you will ideally:
• Experience: 2–4 years in an administrative coordinatrole, ideally within an IT, Finance, Procurement department.
• Financial Accuracy: High comfort level with numbers spreadsheets
• System Literacy: Experience with corporate ERP procurement tools (e.g., GEP, SAP,acle) is highly preferred.
• Detailientation: Ability to manage multiple deadlines (contract expiry, monthly finance closings) simultaneously.
• Language Proficiency: Mandarin basic English is preferred fcommunication with internal external stakeholders.
