JOB OVERVIEW
Be responsible foverseeing facilitating the seamless transition of projects within Shangri-La hotels in the Kyoto, Japan. This role ensures that all aspects of project handover, from planning to execution finalization, are managed effectively to meet the operational strategic goals of theganization while maintaining high-quality standards minimizing disruptions.
DUTIES & RESPONSIBILITIES
1. Project Planning Coordination
● To collaborate with project teams, stakeholders, hotel management to develop comprehensive transition plans fnew hotel openings, renovations, system implementations. Ensure that all tasks, timelines, dependencies are clearly defined communicated.
● To coordinate the allocation of resources, including personnel, materials, equipment, to support the transition process. Ensure that all necessary resources are available at the right time place to avoid delays.
2. Stakeholder Communication Management
● Act as the primary point of contact fall stakeholders involved in the project transition. This includes internal teams such as operations, marketing, finance, Rooms, F&B, Engineering IT, as well as external partners like contractors, suppliers, consultants.
● Facilitate regular meetings communication channels to keep stakeholders updated on project progress, address concerns, resolve conflicts. Ensure that all stakeholders are aligned with the project goals objectives.
3. Quality Assurance Compliance
● Develop implement quality control processes to ensure that the transitioned projects meet Shangri-Las brstandards operational requirements. Conduct regular inspections audits to identify rectify any deficiencies.
● Ensure compliance with all relevant regulations, policies, procedures during the transition process. This includes health safety regulations, environmental standards, industry best practices.
4. Risk Management Problem Solving
● Identify potential risks challenges associated with the project transition develop proactive mitigation strategies. Monitthe project environment fany emerging risks take immediate action to address them.
● Solve problems issues that arise during the transition process. This may involve troubleshooting technical problems, resolving logistical issues, mediating disputes between stakeholders.
5. Documentation Reporting
● maintain detailed project transition documentation, including plans, reports, checklists, meeting minutes. Ensure that all documentation is accurate, up-to-date, easily accessible ffuture reference.
● Prepare regular progress reports fsenimanagement, highlighting key achievements, challenges, next steps. Provide data-driven insights recommendations to support decision-making.
JOB SPECIFICATIONS/REQUIREMENTS
1. Educational Requirements
● Bachelors degree in Project Management, Hospitality Management, Mechanical/Electrical Engineering, InteriDesign a related field. A masters degree is preferred.
● Strong educational credentials from good hospitality colleges/universities.
2. Experience
● At least 3 years of experience in project management, preferably in the hospitality industry. Experience in hotel openings, renovations, system implementations is highly desirable.
● Proven track record of successfully managing complex projects transitions, with a focus on delivering on time, within budget, to quality standards.
3. Technical Skills
● Strong project management skills, including proficiency in Microsoft Office software project management tools such as Microsoft Project, similar software.
● Proficiency with Autocad software
● Problem-solving decision-making skills, with a demonstrated ability to think critically resolve complex issues.
● Knowledge of quality management systems compliance requirements relevant to the hospitality industry.
● Familiarity with local construction hospitality related regulations industry practices.
● Familiarity with risk management techniques the ability to develop implement risk mitigation strategies.
● Ability to manage multiple projects simultaneously meet deadlines.
● Fluent in English Japanese (native passed JLPT N1). Chinese preferable (bothal written).
● Occasionally, travel may be required to conduct field research attend factory visits.
