Roles & Responsibilities
Executive Assistant (EA) to the Head of HeXie Management Research Centre is a key member of HeXie Education Research Group. The role is expected to provide all-around secretarial, administrative executive support to the Head, as well as to participate in support key projects tasks assigned by the Head the Group. The successful applicant would be proactive, reflective, committed to on-time delivery, with excellent people skills to connect both internal external stakeholders.
Secretarial & Administrative Tasks
Support the Head fthe preparation of key speeches, presentations, letters messages fa wide range of purposes occasions.
1. Produce briefing papers, reports, meeting minutes other documents as assigned.
2.ganize maintain the Heads calendar making appointments.
3.ganize manage meetings, including recording, following-up tracking progress of action items.
4. Screen telephone calls, enquiries requests, handling them correspondence when appropriate.
5. Meet greet visitors at all levels of seniority.
6. Assist in time management follow up fdue dates.
7. Deal with incoming email post, may also need corresponding on behalf of the Head.
8. Arrange support the Heads business travel purchasing requests events planning ftimely high-quality delivery.
9. Perform any other secretarial duties assigned by the Head.
Executive Support & Project-based Tasks
1. Contribute actively to the strategic development of the Centre provide high-level support fthe Head as well as the Centre’s management team on daily operations.
2. Act as the key interface between the Centre other professional services academic units within the University play a key role in ensuring effective communications across all shareholders.
3. Work closely with students, academic colleagues, professional services groups industry partners ensuring compliance with University regulations, policies procedures Chinese laws regulations, provide feedback to the Head the Research Engagement Manager regarding the service delivery.
4. Support the Head on anticipating understanding areas of risk fthe Centre planning monitoring follow-up actions aimed at mitigating these risks.
5. Coordinate/participate in projects HeXie Centre events as assigned.
6. Participate the research-related tasks as signed by the Head the Group.
Personal qualifications
1. Excellent written spoken skills in Chinese English.
2. Attention to details when working on reports correspondence.
3. Good typing proofreading skills.
4. A good team player with strong interpersonal skills.
5. Dependability, reliability ability to produce work of high quality in time.
6. Good understanding skills in inter-culture communications effectively.
7. Independent, proactive efficient in implementing multiple tasks.
8. Observe confidentiality work ethic.
Experience
1. Previous experience as an administratin an educationalganization.
2. Good understanding of joint-venture education in China.
3. Master’s degree with work experience in fields where writing, office management, interpersonal skills were necessary.
